Hi all
I would like to get everyone's opinion on a site my friend showed me. The address is http://www.pleaselearntherules.com and it is a place to send people when they don't use BCC when sending to groups or forward time wasters to your work address..

Here is my delimma: I am thinking it might be a nice way to let people know I don't appreciate them sending my email address out to a bunch of strangers but I don't want to seem too rude. A lot of the people who send me these kinds of emails are just new to using email or the internet.. What do you guys think? Is this kind of response rude?

I know exactly what you are talking about and think the message is very clear. I have an in-law who just forwards messages onto other people, who forwarded them on to her and so on. The end result is that I end up with petitions to sign, chain letters and tons of email addresses belonging to strangers. My solution in her case is to never send her electronic material and I won't open anything I don't immediately recognize.

Unfortunately, my solution here is not always an option, so people do need to be made aware of what they are doing. However, many people tend to get offended easily when dealing with online communications so you may want to just compose a message based on the information at the site you provided a link for in your post. Perhaps just a generic note you could store and send out to individuals as needed? Maybe something like the following:

Greetings. I received your note (fill in date) regarding (fill in message title). As it appears that you are not yet aware of certain pitfalls associated with online/email communications, I felt that I should send you this friendly note.

Please be aware when forwarding an email you received from someone else, that unless you take a moment and delete the senders email address, along with any others that may have been forwarded to them, you may unintentionally be endangering the security and privacy of others. As well, information is often forwarded on through several people and private stats may appear in the body of your message text that should be removed before you pass it along to anyone else.

Another issue to keep in mind is that it is not a good idea to send anything to someone's work email that is not work-related. Companies and organizations routinely monitor all incoming and outgoing emails, faxes and internet activity. If someone is found, even by accident, to have broken the office protocol for electronic communications, it can result in a lot of trouble them and sometimes, even termination of employment.

(If you are sending this in regard to garbage being forwarded to your personal home email, then change the next paragraph to state that spam, phishing, virus, scams, etc. can be embedded in what appears to be well-intentioned messages. As such, you ask that they please do not send you any petitions, chain letters or other material not directed at you personally. Along with something like "Please be aware that I will automatically delete such messages to ensure my computer's security." If needed, explain what the terms noted above mean and the risks each poses.)

As the above are serious concerns that could affect everyone involved, I respectfully ask that you please refrain from sending me anything more that is not work-related. Please understand that I realize you intended no harm and hope you will not take offense from this request.

Also, for all of my personal email needs and for use to enter certain sites on the internet, such as this forum, I use a hotmail account. (As I'm sure most here do.) You might want to suggest this in the one geared to your personal email and include the link to obtain it, as well as instructions to just read and follow the steps as they appear.
